We may also collect personal information from third parties, such as publicly available sources or service providers, where permitted by law. 

If we receive personal information that we did not request, we will determine whether we could lawfully have collected it. If not, and it is lawful and reasonable to do so, we will destroy or de-identify it.

We use customer and prospective customer information to respond to enquiries, provide quotations, supply products and services, administer accounts and contracts, arrange delivery, improve customer service and send marketing communications where permitted. Testimonials, photographs and videos will be used for marketing only with the appropriate permission or consent.

Employee and applicant information 

If you are an employee, we may hold information such as your name, address, telephone number, email address, emergency contact details, medical information, remuneration details, ethnicity, gender, religion, survey responses and performance reviews. 

If you apply for a role with us, we may collect your contact details, work history, qualifications, references, right-to-work information, background-check information and recruitment correspondence. 

With consent, we may also use staff photos, videos and testimonials on our website and within marketing materials. 

Direct marketing 

We may use personal information to send information about our products, services and events where the Privacy Act, the Spam Act 2003 (Cth) and other applicable laws permit us to do so. Each electronic marketing communication will provide a simple way to opt out. You can also opt out at any time by contacting [email protected]. We do not charge for an opt-out request and will action it within a reasonable period. 

If you opt out, we may retain the minimum information needed to record and honour your request. You may also ask us to identify the source of personal information we use for direct marketing, and we will respond as required by law

How we hold and protect personal information

Pipedrive is our current CRM system; for Australian and Asia-Pacific accounts, Pipedrive stores data locally in the Amazon Web Services Sydney Region in Australia.  

Syrinx 365 Cloud is our current ERP system; for Australian accounts, Syrinx stores data on Amazon Web Services (AWS) located within Australia. 

We take reasonable steps to protect personal information from misuse, interference, loss and unauthorised access, modification or disclosure. These steps include access controls based on job responsibilities, password protection, multi-factor authentication, confidentiality obligations, security monitoring and appropriate controls for service providers. No method of storage or transmission is completely secure.

Overseas disclosure and storage 

A limited number of staff at RVT Group Ltd in the United Kingdom can access the personal information held in Pipedrive for reporting and support purposes. 

Before disclosing personal information to an overseas recipient, we take reasonable steps required by the Privacy Act to ensure that the recipient handles the information in accordance with the Australian Privacy Principles, unless an exception applies. 

Retention and disposal

We retain personal information only for as long as it is reasonably needed for the purposes for which it was collected, to meet legal, accounting, insurance and record-keeping requirements, or to establish, exercise or defend legal claims. When personal information is no longer required and we are not legally required to retain it, we take reasonable steps to destroy or de-identify it.

Access to and correction of personal information
